Operations Assistant-HR & Financial Liaison

Saginaw Covenant Academy is hiring an Operations Assistant-HR & Finance Liaison.  

Covenant Academy is a year-round alternative high school diploma program for students ages 15-22. We are a mission-based school that meets students where they are, works to identify and eliminate barriers, and builds personal and meaningful parent-like relationships with each student. We offer half-day sessions, blended learning opportunities and personalized education plans to all youth who seek help, with a priority of concern and commitment to those who are most at risk and no other service is available. We will advocate with and on behalf of our youth to raise awareness in the community that all children and youth have the right to pertinent education, and to love, respect and genuine concern.

  • The Operations Assistant serves as a key support for daily school operations while acting as a liaison between Covenant Academies Foundation (CAF) and CS partners for HR and Finance operations. This position ensures the academy runs smoothly day-to-day, supports staff and students, and maintains alignment with CAF’s mission of providing at-risk youth ages 15–22 with an opportunity to earn a traditional high school diploma. The Operations Assistant facilitates communication, documentation, and compliance with CS partners to ensure HR and financial processes are accurate, timely, and mission-driven.

Duties & Responsibilities:

School & Building Operations

● Assist the School Leader with overall academy operations and building-wide communication.

● Maintain office and building aesthetics to ensure a clean, organized, and mission-friendly environment.

● Answer phones, manage mail, coordinate shipments, and oversee supply orders.

● Assist with planning and coordination of graduations and academy events.

● Assist with scheduling, and record board meeting minutes.

● Perform clerical and administrative tasks to support the School Leader and CAF team.


HR Liaison Responsibilities

● Coordinate with CS partners regarding job postings, hiring, onboarding, employee agreements, and teacher certification tracking.

● Collect and forward required HR paperwork, ensuring accurate documentation and

● timely submission.

● Support staff with HR-related inquiries and act as the communication link between employees and CS Partners HR staff.

● Help maintain compliance with HR policies and ensure records are accurate in coordination with CS systems.


Finance Liaison Responsibilities

● Coordinate with CS partners finance staff on accounts payable, purchase orders, deposits, reconciliations and payroll.

● Collect, organize, and submit documentation for school purchases, expenses, and receipts.

● Support budget compliance by ensuring purchases and orders align with approved

guidelines.

● Assist with grant reporting and financial documentation by forwarding required

information to CS partners.

● Maintain organized filing systems for finance-related records at the academy.


Board & Administrative Support

● Support preparation of board packets, agendas, and required postings in collaboration

with CAF leadership.

● Assist with coordination of board meetings, including logistics, communications, and

hospitality.

● Ensure compliance with document posting requirements and record-keeping standards.


Essential Skills & Abilities

● Servant leadership qualities with excellent customer service skills.

● Sensitivity and compassion toward dropout, homeless, and at-risk youth.

● Strong organizational and multitasking skills, with attention to detail.

● Ability to communicate effectively with staff, students, families, and external partners.

● Proficiency in Google Workspace, Excel, PowerSchool, and other office software.

● Ability to problem-solve and manage tasks with professionalism and independence.


Qualifications

● Bachelor’s degree preferred in business, finance, education, or related field.

● At least three years of professional experience in school operations, HR support, or

finance coordination.

● Demonstrated competence with administrative systems and recordkeeping.

● Excellent oral and written communication skills.

● Valid driver’s license and ability to travel as needed.

● Successful completion of criminal history background check.


Working Conditions

● School-based role with responsibilities that extend to coordination with CAF and CS

partners.

● Primarily on-site, with occasional travel to meetings or training.

● Required attendance at board meetings, school events, and as otherwise assigned.
